Grounds Foreman

Service Agreement

Version 2026-10-06-draft

Draft wording. It has not been reviewed by a lawyer yet and must be before real customers are asked to accept it.

1. What this agreement covers

This agreement is between your company ("you") and Grounds Foreman ("we", "us"). It applies when you create an account and for as long as you use the service: the master website, the crew website, and the customer request form.

The person accepting this agreement confirms they are allowed to accept it on behalf of the company named at signup.

2. Your free month and your subscription

A new account begins with a free period. No payment details are taken during it.

To keep using the service after the free period you choose to start a paid monthly subscription. You are billed each month, in advance, for the plan and number of crews you selected. You can cancel at any time; cancelling stops future charges and does not refund the month already paid for.

3. Changes to pricing

We may change our prices, including the price of the plan you are on. We will tell you by email at least 30 days before a new price applies to you. If you do not want to continue at the new price you can cancel before it takes effect.

4. Updates and changes to the service

We may update the service at any time, without asking first. Updates can add features, change how existing features look or work, fix problems, or remove features.

We may take the service offline for short periods for maintenance, and we may change the technical providers we use to run it.

5. Your data

The customer, property, job, crew and photo records you put into the service belong to you. You give us permission to store and process them so that we can provide the service to you.

We keep each company's records separate from every other company's. We do not sell your records.

If your free period or subscription ends, we do not delete your records straight away. We may delete them after a retention period, and we will tell you by email before doing so.

6. Your crews and location records

The service records a crew's location at two moments: when they tap Start on a job and when they tap Finish. It does not track location at other times.

You are responsible for telling your crew members that this happens, for obtaining any consent your local law requires, and for keeping crew access codes private.

7. Fair use

You agree not to misuse the service: no attempts to reach another company's records, to get around plan limits, to overload the system, or to use it for anything unlawful.

We may suspend or close an account that breaks this agreement.

8. What we do not promise

We work to keep the service available and accurate, but it is provided as it is. Schedules, routes and time estimates are aids to your own judgement, not guarantees.

To the extent the law allows, our total liability to you is limited to the amount you paid us in the three months before the claim arose.

9. Changes to this agreement

We may update this agreement. We will tell you by email before a new version applies, and continuing to use the service after that date means you accept it.
